Privacy Policy

At FieldPro, we take your privacy seriously. This policy explains what data we collect, why we collect it, and how we protect it — in plain English.

1. What data we collect

We collect the following information when you use FieldPro:

  • Account information: Name, email address, phone number, and business name.
  • Job photos: Before and after photos taken by technicians during jobs.
  • Location data: Job addresses entered manually. We do not track GPS location continuously.
  • Customer information: Names, phone numbers, and email addresses of your customers (provided by you).
  • Payment information: Processed by Stripe. We never store card numbers.
  • Usage data: Pages visited, features used, and error logs for improving the service.

2. Why we collect it

We collect data solely to deliver the FieldPro service:

  • To create and manage your account
  • To document jobs with photos and generate approval links
  • To send invoices and process payments
  • To send SMS and email notifications to your customers
  • To provide customer support
  • To improve the product based on usage patterns

We do not sell your data. We do not use your data for advertising.

3. Who we share it with

We share data only with the third-party services required to operate FieldPro:

  • AWS / Supabase: Database and file storage (job photos)
  • Stripe: Payment processing and invoicing
  • Twilio: SMS notifications to customers
  • Resend / SendGrid: Transactional email
  • Google (Gemini AI): AI-powered photo quality checks and job summaries
  • Firebase: Push notifications to mobile devices

All third parties are contractually required to protect your data and may not use it for their own purposes.

4. How we protect it

  • All data is encrypted at rest using AES-256
  • All data in transit is encrypted using TLS 1.3
  • Photos are stored in private cloud storage — never publicly accessible
  • Access to production systems is restricted to authorised personnel only
  • We conduct regular security reviews and penetration testing

5. Your rights

You have the right to:

  • Access: Request a copy of all data we hold about you
  • Correction: Update inaccurate information
  • Deletion: Request deletion of your account and all associated data
  • Portability: Export your data in CSV format from Settings → Export
  • Objection: Object to certain types of processing

To exercise any of these rights, email privacy@fieldservpro.com. We respond within 30 days.

6. GDPR compliance (EU users)

If you are located in the European Union, you have additional rights under the General Data Protection Regulation (GDPR):

  • Our legal basis for processing is contract performance (delivering the service you signed up for)
  • You may lodge a complaint with your local data protection authority
  • We do not transfer data outside the EU/EEA without appropriate safeguards (Standard Contractual Clauses)

7. CCPA compliance (California users)

If you are a California resident, you have rights under the California Consumer Privacy Act (CCPA):

  • Right to know what personal information we collect and how it is used
  • Right to delete your personal information
  • Right to opt out of the sale of personal information (we do not sell data)
  • Right to non-discrimination for exercising your rights

8. Cookie policy

FieldPro uses minimal cookies:

  • Session cookie: Required for authentication. Deleted when you sign out.
  • No analytics cookies. We do not use Google Analytics or similar tracking.
  • No advertising cookies. We do not run retargeting campaigns.

No cookie consent banner is required because we only use strictly necessary cookies.

9. Data retention

  • Job records: Retained for 3 years after job completion
  • Job photos: Retained for 2 years after job completion
  • Account data: Retained until account deletion is requested
  • Payment records: Retained for 7 years (legal requirement)

After retention periods expire, data is permanently deleted from all systems.
